When you join us at the Administrative Professionals Conference in Chicago this September, you can expect health and safety to be our TOP PRIORITY. For those that have joined us in the past, this year might feel different than the APC experiences you’ve had in prior years. We want you to know that the heart of APC will not change, and we are very excited to welcome you back safely in 2021.
Health and safety guidelines are continuously changing. With the guidance of event industry associations UFI, AEO, and SISO, the Administrative Professionals Conference will follow the All Secure Standards. In addition to this set of best practices, we will adhere to the recommendations from public health officials, federal, state, and local authorities, and venues.
Below is a list of guidelines APC will adhere to. This list is subject to change and we encourage you to continually check this page for any updates leading up to the event. For our in-person events, here’s what you can expect:
If You Are Sick
If you have a temperature, are showing any potential symptoms of COVID-19, have tested positive for COVID-19, or have been in close contact with anyone that has tested positive for COVID-19 within 14 days of the event then you will need to stay home. We will not be conducting temperature checks, on-site screening nor will we ask for vaccination status. If you don’t feel well, please stay home.
Mask requirements are continuously being reviewed with the on-going release of new guidelines. As of June 2021, mask requirements are still under review. The final decision will likely come closer to the time of the event and will take into consideration the guidance from public health officials, federal, state, and local authorities, and venues. We will notify all attendees of any major changes made to this or other health and safety protocols.
Hand sanitizer stations will be available throughout the Hyatt Regency Chicago. By this point, everyone should know that hand washing is important in helping reduce the spread of COVID-19.
Unlike previous editions, all sessions and special events will take place in one venue. While we encourage you to take advantage of the many attractions Chicago has to offer as part of your visit, hosting all aspects of the APC event in one location at the Hyatt allows us to ensure a safe experience more effectively.
We are working closely with the Hyatt Regency Chicago on overall cleaning procedures as well as use of disinfectants, wiping down tables, chairs, door handles, and procedures for restroom usage and other high-touch areas. We are confident that they are doing everything they can as recommended by professionals. If you would like more information on Hyatt’s cleaning procedures, check out their Cleanliness Commitment.
Seating and Spacing
As of June 2021, venue guidelines encourage seating to be spaced with 3 feet of distance between attendees. Room capacities have been set accordingly based on this guideline. However, capacity and social distancing protocols are being updated almost weekly. We are limiting the event size to reduce the number of attendees and to ensure we can abide by a 3-foot distance recommendation. This guideline may change between now and the time of the event. We will notify all attendees of any major changes made to this or other health and safety protocols.
We will not be able to accommodate any changes to room capacities. Once a session has reached capacity, the room doors will close, and attendees can work with event staff to find another session with available seating. Every attendee will have a seat at the keynote presentations.
We ask that tables and chairs remain in place and are not moved. Each room and space will be setup in accordance with our seating and spacing guidelines and should not be altered.
Food and Beverage
As you can imagine, helping yourself to food in a buffet line is not something that we will be able to offer our attendees this year at APC. The APC team is working with the culinary experts at the Hyatt Regency to design reimagined menu offerings of thoughtfully sourced food & beverage that are carefully served. Meals & utensils will be individually portioned to reduce touchpoints and mitigate exposure/risk to our attendees. We will still accommodate all dietary needs provided to us through the registration process. If you have not submitted your dietary accommodations, please reach out to us at email@example.com.
Tuesday Night Party
For those who have attended APC previously, you know about our Tuesday Night Party. The one where we rent a venue, get dressed up and dance with our new friends late into the night. Unfortunately, the party we typically host cannot safely happen this year. Instead, APC event staff has secured a Murder Mystery Theatre Dinner event. This event will take place at the Hyatt Regency Chicago and will be a plated dinner with live entertainment. The design of this event inherently ensures distancing by creating seated entertainment with a reduced number of seats per table. We will have limited capacity for this event so please be sure to sign up when the time comes.
Again, due to our commitment to your health and safety, we have reimagined how our Welcome Reception (hosted in the exhibit hall) can take place this year. New for 2021, we are introducing the “APC Exchange”. It will take place on Monday and will be an open house-style event. All the delicious food & beverage offerings will be individually prepared for attendees to take with them. This will make it easier for attendees and exhibitors to leave their masks on while networking in the exhibit hall. We are working out some details to ensure this will still be a great way for you to connect with peers and vendors in a safe and enjoyable environment. Stay tuned!
To reduce touchpoints and minimize waste, APC is transitioning to a Digital Conference Bag! This digital bag will allow you to see all the offerings and coupons from exhibitors without the paper. Leading up to the event we will email you information around logging in and claiming your perks.
It is our goal to create spaces where businesses and people can learn, grow, and connect. We believe these guidelines will allow us to do so safely and securely. The intent of providing this information is to be fully transparent about the safety protocols in place for the event. This information provides the opportunity for attendees to make a personal decision about their level of comfort in attending. The goal is to both create a level of confidence for those who wish to attend in-person and to provide information in advance to those who ultimately may not be comfortable.
